05Why we collect it

We collect personal data so that we can:

  • Respond to your enquiry
  • Provide a quote or estimate
  • Arrange and conduct a site visit
  • Carry out building work for you under contract
  • Communicate with you about ongoing projects
  • Invoice you and manage payments
  • Comply with our legal and tax obligations
  • Improve our website and services

06Legal basis for processing

Under UK GDPR, we rely on the following legal bases:

  • Consent — when you submit an enquiry form, you're consenting to us using your details to respond.
  • Contract — once we're providing services to you, processing your data is necessary to deliver the contract.
  • Legitimate interests — to manage our business, respond to enquiries, prevent fraud, and improve our services.
  • Legal obligation — to comply with tax, accounting, building regulations, and health & safety law.

07How we use your data

We use your personal data only for the purposes for which it was collected. Specifically:

  • To respond to enquiries and provide quotes
  • To carry out and manage the building work you've engaged us for
  • To send you project updates, schedules and invoices
  • To resolve any after-build queries or warranty claims
  • To maintain our project records as required by law

We do not sell your data to anyone. Ever.

08Who we share data with

We share personal data only when necessary. Common recipients include:

  • Sub-contractors and trades — where we need to share project details with electricians, plumbers, plasterers etc. who we work alongside on your build.
  • Suppliers — for materials and product deliveries to your site.
  • Building Control & Planning — where required by law for sign-off and certification.
  • Accountant and auditors — for tax compliance.
  • Our IT and web hosting providers — who process data on our behalf under written data processing agreements.
  • Law enforcement or regulators — only where legally required.

All third parties are required to keep your data confidential and process it only on our instructions.

09Marketing communications

We don't send marketing emails or texts to enquirers unless you've explicitly opted in to receive them. If we ever do start a newsletter or marketing communications, you'll always have a clear unsubscribe option and we'll only contact you if you've specifically agreed.

We may, on rare occasions, contact existing clients about a relevant new service or aftercare follow-up — based on our legitimate interest in maintaining the client relationship. You can ask us to stop at any time.

10How long we keep data

We keep your personal data only for as long as we need it:

  • Enquiry data (where you didn't become a client): 12 months, then deleted.
  • Client records (active projects): retained for the duration of the project and for at least 6 years after completion, to comply with tax law and to support any warranty or defect claims.
  • Financial records: 7 years (HMRC requirement).
  • Website analytics & logs: typically 26 months.

We securely delete personal data once we no longer have a lawful reason to keep it.

11Data storage & security

Your data is stored on secure systems with UK or EU-based hosting where possible. We use industry-standard encryption (HTTPS/TLS) for data in transit, and access to your data is restricted to the people in our business who genuinely need it.

We have appropriate technical and organisational measures in place to protect your personal data against unauthorised access, accidental loss or destruction.

12International transfers

We primarily store and process data within the UK and European Economic Area (EEA). Where any of our service providers (e.g. email or analytics) transfer data outside the UK/EEA, we ensure they're covered by appropriate safeguards such as the UK Addendum to the EU Standard Contractual Clauses, or operate under an adequacy decision.

13Your rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.
  • Erasure ("right to be forgotten") — ask us to delete your data, where lawful to do so.
  • Restriction — ask us to limit how we process your data.
  • Portability — receive your data in a structured format, or have it sent to another provider.
  • Object — to processing based on legitimate interests or for direct marketing.
  • Withdraw consent — where we're relying on consent, you can withdraw it at any time.

To exercise any of these rights, email info@chbuildgroup.co.uk. We'll respond within one month.
